Electronic Archiving Policy

FaST - Jurnal Sains dan Teknologi implements an Electronic Archiving Policy to ensure the security, traceability, long-term preservation, and continuous accessibility of all published research content. This policy encompasses content storage within the journal management platform, electronic backups, digital preservation strategies, and author self-archiving.

This policy adheres to the archiving and content preservation principles set forth in the COPE Principles of Transparency and Best Practice in Scholarly Publishing.

Storage of Journal Content

All published content and publication records for FaST are managed through the Open Journal Systems (OJS) platform. This platform is utilized to manage research articles, issues, metadata, and publication records throughout the editorial lifecycle.

The content maintained within the electronic archive includes, as applicable:

  1. Published research articles;
  2. Galley files and publication-ready documents (PDF format);
  3. Bibliographic metadata for each article;
  4. Volume, issue, and publication date information;
  5. Digital Object Identifiers (DOIs) and persistent identifiers; and
  6. Other publishing records necessary to maintain the integrity and traceability of the scholarly record.

The management and preservation of journal content are overseen by the Editorial Board of FaST under the administration of Universitas Pelita Harapan (UPH) as the publisher.

Electronic Backups

In addition to standard platform storage, the technical team performs regular electronic backups of all publication data and manuscript assets. This mitigates the risk of data loss resulting from hardware failure, system errors, cyber security incidents, or technical disruptions.

  • Electronic backups provide full system recovery copies to restore operations promptly should the primary server experience technical failure.
  • Backup scope covers database records, article galley files, and system configurations necessary to recover the journal and maintain the continuity of publication records.

Digital Preservation

The digital preservation strategy of FaST is designed to guarantee long-term availability, permanent accessibility, and usability of published scientific literature. Current preservation measures include:

  • Continuous maintenance of data on secure servers hosted by Universitas Pelita Harapan.
  • Systematic off-site electronic backups.
  • Standardization and preservation of article metadata and digital full-text files.
  • Support for decentralized article distribution through author self-archiving.

Note: While electronic backups are primarily designed for disaster recovery and system restoration, digital preservation ensures the long-term sustainability and usability of scientific publications over time. Should FaST formally integrate with external digital preservation networks in the future (e.g., PKP PN, CLOCKSS, or LOCKSS), details regarding the service and verification mechanism will be updated on this page.

Author Self-Archiving Policy

FaST allows authors to self-archive the final published version (Version of Record) of their work immediately upon publication, without any embargo period, in alignment with the journal's Open Access and Licensing policies.

Authors are permitted to deposit and distribute the published version of their article via:

  1. Institutional repositories (e.g., university or research institute digital archives);
  2. Subject-specific or discipline-based scientific repositories;
  3. Personal websites or academic profile pages; or
  4. Scholarly communication networks and repository services that ensure the original publication source remains traceable.

Self-archiving does not require special permission from FaST, provided it complies with the journal's copyright and licensing terms.

Terms and Requirements for Self-Archiving

When self-archiving or redistributing published articles, authors must:

  1. Retain the original author names and full bibliographic citation details;
  2. Explicitly acknowledge that the paper was first published in FaST - Jurnal Sains dan Teknologi (Universitas Pelita Harapan);
  3. Include the official article DOI link pointing to the Version of Record on the journal platform;
  4. Preserve the copyright notice and open-access licensing information; and
  5. Comply with the terms of the Creative Commons Attribution-ShareAlike 4.0 International License (CC BY-SA 4.0) (or the applicable CC license adopted by FaST).

FaST imposes no embargo period on self-archiving the Version of Record.

Preservation of the Scholarly Record

The primary objective of this Electronic Archiving Policy is to guarantee that published scientific articles and bibliographic information remain permanently accessible, traceable, and recoverable.

Changes to an article’s status due to formal corrections, expressions of concern, or retractions will not delete the historical publication record. Article metadata, retraction notices, and correction statements will be permanently linked and managed in accordance with FaST’s Retraction & Correction Policy.
